If you're not the only person at your company who has received an email from RapidRatings about a specific Financial Health Rating (FHR) request, you're not seeing a mistake. RapidRatings can now reach up to two contacts at a company on the same outreach, to give your organization the best chance of a responsive person seeing the request quickly. This article explains what's happening, how you and your colleague should coordinate, and how to combine your responses into a single account on the FHR Exchange.
Why you and a colleague are both being contacted
For each FHR request, your client (the company that requested the rating) may nominate up to two people at your organization to contact. RapidRatings then emails those two contacts separately, so the odds of reaching an available and responsive person are higher.
Each of you receives your own email with your own registration or login link
Both of you receive reminders on the same schedule
Talk to your colleague before either of you responds
Because the emails arrive as two separate threads, RapidRatings does not see any coordination that happens between you and your colleague. Before either of you responds:
Confirm you're both looking at the same request from the same client.
Decide which one of you will be the primary point of contact for your company on this rating (the "account holder"), and which one will be added as an additional user.
Proceed to the registration steps below.
Deciding this up front prevents duplicate work, avoids one of you creating a separate account by mistake, and makes sure the right person's inbox is being tracked on your side.
How to combine into one account
Whichever of you is going to be the primary contact registers first, using the registration link in the email they received. This creates your company's FHR Exchange account. See How to Register a New Member Account for full registration steps.
Once the first person's account is set up, the other person has two options:
Option 1: Ask the first person to add you as a user (recommended). From their Admin console (Users page → Invite User), the account holder invites you as an additional user on your company's account. This is the standard way to add a colleague and works exactly the same as adding any other teammate. See How to Add a User to Your FHR Exchange Account for the full steps.
Option 2: Request to be added from your own email. If you click the registration link in your own email and your company's account has already been created by your colleague, you'll be told that an account already exists for your company. From there, you can select the option to request to be added. The account holder receives an email naming you and can grant or decline your request; if granted, they'll add you as an additional user, and you'll get access.
Either option gets you both to the same place: one shared account, both of you working together on the same client requests.
If you're told "an account already exists for your company"
If you open the registration link in your email and see a notice that an account has already been opened for your company, it means a colleague at your company registered first. To respect your colleague's setup, RapidRatings does not tell you who they are.
You have two paths from that notice:
If you already have your own FHR Exchange account (from a previous rating with a different client, for example): you'll be offered a login option. Sign in to see whether this request is already in your account or contact Member Services if you need help joining your colleague's account.
If you don't have an FHR Exchange account yet: select the option to request to be added. Your colleague, as the account holder, receives an email naming you and decides whether to add you. If granted, they'll add you as an additional user.
If you're not sure who at your company registered the account first, ask around. Your colleague may be the person whose name was originally nominated by your client.
What not to do
Don't independently register two separate accounts. If both of you register through your own outreach links without coordinating, the FHR Exchange will create two separate company records for you, and each of you will only see your own client requests, not your colleague's. Correcting this after the fact requires Member Services intervention. See Invitation link not working? for the general "don't register separately" guidance.
Don't reply-all to RapidRatings emails. Each of your emails is a separate thread and RapidRatings does not automatically link your correspondence with your colleague's. If you have questions, either of you can reply to your own email or chat with Member Services from the Help Center.
Don't assume one of you can safely ignore the emails. Both contacts are being actively tracked, and both will continue to receive reminders on their own cadence until the underlying request is either completed or the second person is added to the primary account.
If your company's rating is being refreshed
If this is a rating refresh (your company already has an FHR Exchange account from a previous rating with this client), the account holder on your company's existing account receives the standard refresh email. The second contact receives an "an account already exists for your company" email with the option to request to be added, as described above.
Only the existing account holder can act on the refresh itself. The second contact is informational and can join the account if they need access to see or work on the rating.

Frequently asked questions
Why is my colleague also receiving emails about the same rating? Your client can nominate up to two contacts at your company for each rating request. RapidRatings emails both contacts separately to increase the chance of reaching a responsive person. Each of you receives your own email with your own registration or login link.
Are we supposed to both respond independently? No. Talk to each other first and decide which of you will be the primary point of contact (the account holder). That person registers first, then the other joins as an additional user on the same account.
Will my colleague see my email address, or vice versa? No. RapidRatings does not disclose one contact's details to the other.
What if we both click our registration links at the same time? Only the first click will actually create the account. The second person will be told an account has already been opened for the company, and can request to be added.
Why was I told "an account already exists" when I clicked my link? It means a colleague at your company registered first. Select the option to request to be added; the account holder (your colleague) will receive an email asking whether to grant you access.
Can I just tell my colleague to ignore their email? No. Both contacts are actively being tracked, and both will keep receiving reminders on their own cadence. The cleanest path is for one of you to register and add the other as a user, or for the second person to use the "request to be added" option from their own email.
What happens if we've accidentally created two separate accounts? Chat with our Member Services team and we'll consolidate the accounts into a single company record.
