My Email Domain is Already Associated With a RapidRatings Account

What to do when you register for the FHR Exchange and see that your email domain is already associated with a RapidRatings account. Covers when to choose Request Access, Create a New Account, or Use a Different Email, and what happens after you choose

When you register for the FHR Exchange and the platform recognizes your email domain as belonging to an existing RapidRatings account, you will see a screen titled Registration with a message like "The domain [yourcompany.com] is already associated with a RapidRatings account." You will be asked how you want to continue, with three options: Request Access, Create a New Account, or Use a Different Email. This article explains why this screen appears, which option is right for your situation, and what happens after you choose.

Why you are seeing this message

Before showing the choice screen, the platform verifies your email address and then checks whether the domain portion of that address (for example, yourcompany.com) matches the domain on one or more existing active RapidRatings accounts. If it finds a match, you are routed to this screen instead of straight into account creation. If your email domain is a shared or free provider such as gmail.com, yahoo.com, or outlook.com, this check is skipped and you proceed through standard account creation.

The purpose of the check is to prevent duplicate accounts for the same company. Most of the time, a domain match means a colleague at your company already has an FHR Exchange account, and you should be added to it rather than creating a second one.

The choice screen itself does not reveal which account was matched. The name of the matching account is only shown after you click Request Access, so you can confirm it is yours before anything is sent to the Admin.

Which option to choose

Choose Request Access if you believe a colleague at your company already has an FHR Exchange account. On the next step you will see the name of the matching account (or a list, if more than one matches), and you select the one that belongs to your company. A request is then sent to that account's Admin to add you as a user. The Admin sees your name and email address. Nothing on the existing account changes until the Admin approves.

Choose Create a New Account if you are confident the matching account does not belong to your company and you happen to share a domain with another organisation (for example, a parent company, a sister brand, a shared services provider, or a legacy domain still in use elsewhere). You will be routed into the standard account creation flow for your own organisation.

Choose Use a Different Email if you have a different work email address you would prefer to register with. You will return to the email entry step. If the new address has no domain match, standard account creation continues from there.

If you are not sure which option applies, choose Request Access. You can see the matched account name on the following step before you commit, and if nothing looks right you can back out and choose Create a New Account or Use a Different Email instead.

What happens when you select Request Access

The next screen shows you the name of the matching RapidRatings account. If more than one account matches your email domain, you see a short list and pick the one that belongs to your company.

Once you confirm your selection, your request is submitted. Your name and email address are shared with the Admin or Admins on the account you selected. No further details about you are shared, and no information about any other matched account is shared with you.

A confirmation screen tells you the request has been sent. The Admin receives an email notification and also sees the pending request in the admin area of their FHR Exchange account, where they can approve or deny it directly.

If approved, you are added as a user on the account and you receive an email confirming access. You can then log in with the email address you registered, and the client invitation that brought you to the platform will resume automatically. You do not need to click the original invitation link again.

If denied, you receive an email informing you. The denial means the Admin does not want to add you to the existing account. You are advised to contact your organisation directly to understand the right path forward, which may mean using a different email address, creating a new account for a separate entity, or working with the Admin to have the request reconsidered.

What happens when you select Create a New Account

You are routed into the standard FHR Exchange account creation flow. Complete your name, password, and any remaining registration details. A separate account is created for your organization. The client invitation that brought you to the platform remains attached to your new account and you can fulfil the request from there.

Create a New Account is the correct choice only when the matching account genuinely belongs to a different company. If you select it in error and later realise your colleague already has an account, contact Member Services and we will help you consolidate.

What happens when you select Use a Different Email

You return to the email entry step. Enter the alternate address. The domain check runs again against the new address. If there is no match, standard account creation continues. If the new address also matches an existing account, the choice screen appears again for the new domain.

Use a Different Email is useful if you have both a personal-style work address and a group or role-based address, or if you have recently changed email addresses and both are still active.

If your Admin does not respond

If a reasonable period passes with no approval or denial, the Admin receives a reminder. If the request still goes unanswered, it expires and you receive an email letting you know. You can then start registration again, which will send a fresh request.

If you know who your Admin is and can reach them directly, a short message asking them to action the request in the FHR Exchange admin area is usually the fastest route.

What happens to the original client invitation while you wait

The client invitation that brought you to the platform stays open while your access request is pending. You do not need to return to the original invitation email, and your client does not need to resend it. Once you gain access to the account (either by Admin approval or by creating a new account), the request resumes automatically and you can complete it.

Frequently asked questions

Why can't I just create a new account like I would normally? The platform detected that your email domain is already associated with an existing RapidRatings account. Allowing a second account under the same company domain would create a duplicate, which fragments financial data and causes confusion for clients who work with your company. The choice screen exists to route you to the correct account.

Why doesn't the choice screen tell me which account was matched? Account names are shown only after you commit to the Request Access path, where seeing the name is necessary for you to confirm it is your company. This protects the privacy of other accounts on the platform and prevents disclosure of account relationships to anyone who happens to share an email domain.

Why doesn't the platform just add me automatically? Your Admin controls who has access to the account. Automatic addition would bypass that control and allow anyone who happens to share your email domain to join your company's account without consent.

Who is the Admin on my company's account? The platform does not share the Admin's identity with you. If you can reach the person at your company who originally registered with RapidRatings, that is typically the Admin. Otherwise, submit the request and wait for them to action it.

I clicked Request Access and none of the matched accounts look like mine. What should I do? Back out of the Request Access step and choose Create a New Account or Use a Different Email instead. If you are unsure, chat with Member Services and we will help you work out which account is yours.

How long does approval usually take? This depends on your Admin. Admins are notified by email immediately and can approve from the admin area of their FHR Exchange account in a few clicks.

Can I cancel a request after I submit it? Not directly from your side. If you submitted a request in error, contact Member Services and we will help you resolve it.

My colleague approved me but I still cannot log in. What should I do? Check your inbox for the access confirmation email, including spam and junk folders. If it has not arrived, chat with Member Services and we will verify your access status.

I selected Create a New Account by mistake. Can I undo it? Contact Member Services. We can help you consolidate the two accounts so your company has a single account on the FHR Exchange.
